The Black Male Archives (the “Archive,” “we,” “us”) is operated by Reminisce Preservation LLC, a Florida limited liability company. This policy explains what information we collect at blackmalearchives.org, why, and what choices you have. It replaces all earlier versions.
The short version
You can read almost all of this Archive without giving us anything. You only share personal information if you choose to: by creating a member account, leaving a comment, sending us a message, or suggesting an entry for one of our directories. We run no advertising network and no third-party analytics trackers. We do not sell personal information and never have. Member profiles are private and are not published anywhere on this site.
1. Information we collect
Member accounts
If you create an account, we collect your email address and a password, which is stored only as a secure one-way hash and is never visible to us. You may then add a display name, location, short biography, profile photograph, and links to your website, LinkedIn, Instagram or X. All of these are optional and you may edit or clear them at any time.
Member profiles are private. We do not publish member profiles, we do not operate a member directory, and we do not display your details to other visitors. Your profile exists so you can manage your own account.
Comments
If you leave a comment we collect the content of the comment, the name and email address you enter, your IP address and your browser user agent string. This is how WordPress, the software this site runs on, handles comments.
Comments are checked for spam by Akismet, a service operated by Automattic Inc. To do that, the comment content and the details above are sent to Akismet for analysis. Akismet’s handling of that data is governed by Automattic’s privacy policy. If you would rather not have a comment processed this way, do not submit one; write to us by email instead.
Contact and evaluation forms
Our contact and evaluation forms collect what you type into them, which normally includes your name, email address and message, and deliver it to us by email. We use it to answer you and to improve the Archive.
Directory suggestions
Several of our directory pages invite you to tell us about a business, organisation or person we have missed. If you send a suggestion, we collect what you send. Business and organisation details you submit for publication are, by their nature, intended to be published. Do not send us someone else’s personal information without their knowledge.
Information collected automatically
Our hosting provider records standard server logs for every request: IP address, date and time, the page requested, the referring page, and basic browser and operating system details. These exist to keep the Archive running, diagnose faults and identify abusive traffic.
To protect sign-in and registration from automated abuse we apply rate limits. These work on a hashed form of your IP address held briefly in temporary storage, and are discarded automatically.
Cookies
We use functional cookies only. WordPress sets cookies when you sign in, to keep you signed in and to remember screen preferences, and when you leave a comment, to save your name and email for next time. Our caching software may set a cookie so pages load quickly and correctly.
We do not use advertising cookies, marketing pixels, social media tracking widgets, or third-party analytics services such as Google Analytics. You can block or delete cookies in your browser, though blocking them will prevent you from signing in.
2. How we use information
- to create and maintain your member account and let you sign in;
- to publish and moderate comments;
- to answer messages, corrections, rights requests and copyright notices;
- to consider directory suggestions and material offered to the Archive;
- to deliver, maintain and secure the Archive and diagnose faults;
- to detect, prevent and investigate spam, abuse, fraud and attacks; and
- to comply with legal obligations.
We do not use your information to build advertising profiles, and we do not make automated decisions about you producing legal or similarly significant effects.
3. Legal bases for processing (UK and EEA visitors)
- Contract. Creating and running your member account.
- Legitimate interests. Keeping the Archive online and secure, moderating comments, preventing spam and abuse, and answering correspondence.
- Consent. Optional profile details, comments, form submissions and directory suggestions. You may withdraw consent at any time, which will not undo processing already carried out.
- Legal obligation. Where we must keep or disclose records to comply with law.
Preserving and presenting historical material is also carried out in the exercise of the right to freedom of expression and information, and in support of archiving in the public interest.
4. Sharing and disclosure
We do not sell, rent or trade personal information, and we do not share it for cross-context behavioural advertising. We disclose information only:
- To service providers. Our web host stores the site and its data; Automattic Inc. processes comment data through Akismet for spam filtering; our email provider carries messages between us. Each acts under contract and on our instructions.
- When you publish it yourself. A comment you submit is published with the name you attach to it. Do not put anything in a comment you would not want public.
- For legal reasons. Where required by law, subpoena, court order or other lawful process, or where necessary to protect our rights, your safety or the safety of others.
- On transfer. If Reminisce Preservation LLC transfers or winds up this Archive, records may pass to a successor custodian. We would expect any successor to honour this policy and would post notice before such a transfer took effect.
5. How long we keep information
Account information is kept until you delete your account or ask us to. Published comments are kept indefinitely as part of the record of discussion, unless you ask us to remove them. Server logs are kept for a short operational period, generally no more than twelve months. Correspondence is kept as long as needed to handle the matter and keep a reasonable record. Archive holdings themselves are intended to be preserved permanently.
6. Security
The Archive is served over HTTPS. Passwords are stored only as salted one-way hashes. Sign-in and registration are rate limited, sign-in errors are deliberately generic so they cannot be used to discover whether an address is registered, and uploads are validated by type and size. Administrative access is restricted. No website can promise perfect security, and we do not. If a breach affects personal information we will notify affected people and regulators where the law requires.
7. Your privacy rights
If you are in the United States
Depending on your state you may have the right to know what personal information we hold about you, to obtain a copy, to have it corrected, to have it deleted, and to be free from discrimination for exercising these rights. Under the California Consumer Privacy Act as amended by the CPRA, we confirm that in the preceding twelve months we have not sold personal information and have not shared personal information for cross-context behavioural advertising, including with respect to anyone under sixteen.
If you are in the United Kingdom or the EEA
You have the right of access, rectification, erasure, restriction, objection and portability, and the right to lodge a complaint with your national data protection authority, in the United Kingdom the Information Commissioner’s Office.
Managing your own data
If you have an account you can edit or clear your profile details yourself at any time from your profile page, and change your password there. To delete your account entirely, write to us and we will remove it.
Making a request
Write to rodneyfreeman@reminiscepreservation.com. We will respond within the period the applicable law allows, normally thirty days, and may need enough information to verify who you are first. There is no charge for a reasonable request.
Requests about archival material
Rights over your own account data are different from requests to remove archival or published material about you. We take the second kind seriously and consider them individually, weighing the public interest in an accurate historical record against the effect on the person concerned. 8. Children’s privacy
The Archive is intended for a general audience and is not directed to children under thirteen, and we do not knowingly collect personal information from them. Accounts are for people aged thirteen and over. If you believe a child has given us personal information, write to us and we will delete it.
9. International transfers
We operate from the United States and our hosting is provided there. If you use the Archive from elsewhere, your information will be processed in the United States, where data protection law may differ from that of your country. Where required, we rely on appropriate safeguards.
10. Links to other websites
The Archive links widely to publishers, institutions, organisations and businesses. Those sites are not ours and their privacy practices are their own, including any advertising or analytics they run. We encourage you to read the policy of any site you visit.
11. Do Not Track and Global Privacy Control
We run no tracking or advertising technology, so there is nothing here to opt out of. We honour Global Privacy Control signals as a matter of course, since we neither sell nor share personal information.
12. Changes to this policy
If we change this policy we will revise the date at the top and, for material changes, post a notice on the site. Continuing to use the Archive after a change means you accept the revised policy.
